When something on an order is not clear, for example a wrong measurement or a blurry photo, the factory writes to the order's seller from the order itself. Open the order, write in Notes to the seller, add a photo if it helps, and press Send to the seller.
Where to find it
Open the order: with Find an order, from Factory work, or (for the office) from Admin › ERP › Sales Department › Seller orders. The Notes to the seller box is on the order's photo page and on the full order page.
The box shows for factory workers (Cutting Man, Sewing Operator, QC Man, Helper) and for the Super Admin, Admin, Manager and Production Manager. It does not show for the order's own seller: they answer instead.
Step by step
- Open the order.
- In Notes to the seller, write what is wrong. For example: "Chest 40 or 42? The photo and the details do not match."
- To show the problem, press Add a photo and take or choose one. A ✔ shows once it is chosen.
- Check the name after To: that is the seller who gets it.
- Press Send to the seller. A message says "Note sent to the seller of RF1023."
How it works
- The note sits on the order with a label for who sent it: ✂ Cutting, Sewing or QC for a factory step, or the sender's job (for example Production Manager) for the office.
- The seller is told on their dashboard ("new note(s) from the factory about your orders"), with a Notes from the factory card, and by a badge on the order in their order list.
- Answers come back on the order. Both of you can write under the note with Reply. You also find the note, with a badge for new answers, in My workspace › Requests & messages.
- Mark done. When it is sorted, either of you presses ✔ Mark done. The note shows Done and leaves the open list.
Example: at Rangdhanu Fashion a QC man sees a sleeve that is shorter than the photo. He opens RF1023, writes "Sleeve 2 inches short — re-sew or send as is?", adds a photo and sends it. The seller answers "Send as is, the customer agreed," and marks it done.
Good to know
- Each note goes to one seller: the login of the page the order belongs to. (The Data Entry Man can also pick a cutting or sewing person: see How does the Data Entry Man write a note to the cutting or sewing people?.)
- A note can be up to 2,000 characters, with one photo.
- The store owner can read every note and answer any of them.
- Telegram: if your store sends staff alerts to Telegram, a short "Note from …" line with the invoice goes there too.
Common problems
- "This order's page has no seller login — tell the office." The page has no seller login yet. The office gives the seller a login in Sales team › Pages, or answers the factory themselves.
- There is no Notes to the seller box. You are the seller of this order, or your job cannot write notes. Sellers answer notes; they do not start them.
