Salaries and payroll are for the store owner (Super Admin) only. Admins also open staff profiles, add people and make their logins, but without any pay. Admins, Managers and Production Managers get Attendance: they mark late, absent and closed days but see no salaries. Each staff member sees only their own attendance and salary.
Where to find it
- Admin › ERP › HR Department › Staff: owner, and Admin (without salaries).
- Admin › ERP › HR Department › Payroll: owner only.
- Admin › ERP › HR Department › Attendance: owner, or Attendance.
- Admin › My workspace › My attendance and My salary: every staff member whose login is linked to a staff profile.
You give features in Admin › Administration › Users & access › Users & logins. On that form, Staff & salary (owner) is marked owner only: it opens for the Super Admin only, even when ticked.
Who can use it
| Who | What they can do |
|---|---|
| Super Admin (owner) | Everything: staff profiles, every salary and advance, payroll, salary rules, attendance |
| Admin (has Attendance) | Attendance screen: late, absent, closed days. Also forgive a day (Leave, no cut), mark present on a day with no card punch, and change overtime. Adds staff and fixes profiles. No salaries |
| Manager (has Attendance) | Attendance screen: late, absent, closed days. Cannot forgive a day, mark present without a punch or change overtime. No salaries |
| Any other staff | Only My attendance and My salary for themselves |
Good to know
- On the Attendance screen, everyone but the owner sees names but no links to profiles, no Salary button, and cannot link card-machine names to staff.
- Admin, Manager and Production Manager start with Attendance. It is ticked by itself when you pick these roles. You can untick it.
- The owner never needs a staff profile. My attendance and My salary are for staff only.
- Salary payments are cashbook entries. When you pay salaries from an account, those entries show in that account. Anyone you let use that account can see them, so pay salaries from an account only you use.
- Approving leave. The owner and Admins also approve leave and other staff applications in Requests & messages.
- Staff, attendance and salary need the "Staff, attendance & salary" part in your package after the free trial.
Common problems
- A Manager says "Only the Super Admin or an Admin can…" That action (forgive a day, mark present without a punch, overtime) is limited to the owner and Admins. Do it yourself, or make the person an Admin.
- Someone can see salaries who should not. Only a Super Admin can. Check their role in Users & logins.
- A new person shows "Salary not set". An Admin added them. Open the profile and set the salary.
