Open Requests & messages, click the request, and press Approve or Reject in the Decide box. When you approve leave, a forgotten card punch or a fine waiver, the staff member's attendance days change by themselves and their salary is worked out again.
Where to find it
Admin › My workspace › Requests & messages. Every login has this link. A number next to it shows how many requests and replies you have not read yet; they are listed first under New for you.
Who decides what
| Request | Who can approve or reject it |
|---|---|
| Leave | Only the Super Admin (the store owner, the CEO). Anyone else it was sent to can only Forward it. |
| Advance | The Super Admin, an Admin, or a Manager, Production Manager or Marketing Manager it was sent to (by name or to their role) |
| Card not punched, Fine waiver | The Super Admin or an Admin |
Nobody can decide their own request. An Admin or a Manager sees the requests sent to them or to their role. The owner sees everyone's requests under the Everyone's tab.
Step by step
- Go to Requests & messages. The To me tab lists what was sent to you or to your role, with the number still open.
- Click a request to open it. The top line shows who sent it, who it was sent to, and a short summary (for example "Leave 12 Nov – 14 Nov (3 day(s))").
- Read the Decide box. It says exactly what approving will do for this type of request.
- Write a Note to them if you want to (optional). It is added to the conversation.
- Press Approve or Reject.
- To ask a question first, write in the answer box and press Send. The request stays open.
What approving does
| Request | When approved |
|---|---|
| Leave | Only the CEO / Super Admin grants it. For each day choose Paid leave (no cut) or Salary cut (not paid) — or press All paid leave / All salary cut. Paid days become "Leave (no cut)"; cut days become "Leave (salary cut)" and are cut from the salary like a day absent (and there is no attendance bonus that month). |
| Card not punched | The day becomes a full Present day (a full day off worked on the weekly day off), with the times the person wrote. A one-punch half day counts in full. Late minutes are counted from the time in they wrote. |
| Fine waiver | That day's late and missing-punch fines are forgiven, and an absence becomes leave. A half day stays half. If the person picked a custom fine, only that fine is forgiven and the day does not change. |
| Advance | Nothing is paid by itself. You may change the amount first (give less, or more, than asked). Then press Give the advance: it opens the Cashbook entry filled in. Only that entry is cut from their salary. |
For leave, card-not-punched and fine requests, any salary already made for that month is worked out again (not a checked or paid one).
Good to know
- Leave ahead is set too. Approved leave changes every day asked for, the days still to come too. A card-not-punched or fine request changes only a day already past (or today).
- Rejecting a Card not punched request leaves the day a half day. The person sees that on My attendance.
- No staff profile, no change. If the sender's login is not linked to a staff profile, the box warns you, and approving cannot change any days.
- Messages are not approved. A plain message is only answered. The person it was sent to, or the sender, presses Mark done when it is finished.
- A reply to a closed message opens it again.
Common problems
- There is no Decide box. The request is not yours to decide (see the table above), it is your own, it is a plain message, or it has already been decided. If you see a Forward box instead, pass it on to the Admins or to the CEO.
- The advance is not on the salary slip. Approving does not pay it. Enter the money in the Cashbook under the staff advance category and choose the staff member.
