Where do I see payments received for orders?

Every website order has a Payment Status in the order list. Click that status to open the order's payment window, where you see the payment details and can write down money you received.

Where to find it

Admin › Online store › Website orders › All orders, then the Payment Status column.

The payment window belongs to the feature Payments & profit (owner). The store owner always has it. It is marked "Owner only" on the user form, so keep it for the owner.

How it works

The status is worked out from the payments written on the order:

  • cod — nothing paid yet (cash on delivery).
  • partial — some money paid, less than the order total.
  • paid — the payments add up to the order total or more.

Click the status to open Order Payments. At the top you see the customer, mobile, the transaction ID (when the payment has one), invoice number, order status, total amount and the order note.

To write down money you received:

  1. Check Amount. It is filled in with what is still due.
  2. Set Paid on (today by default).
  3. Pick Pay Via: Cash or Card.
  4. Add a Payment Note if you like, for example "Advance by bKash, 01XXXXXXXXX".
  5. Press Update. The Payment Status changes at once.

Good to know

  • Online payments mark themselves. With SSLCommerz, bKash, aamarPay or ShurjoPay, the shop asks the gateway whether the full amount came for that order. Only then is the order marked paid, once, with the gateway's transaction ID.
  • Send money is not marked paid by itself. The customer's wallet, number and TrxID are added to the order note, ending with "(check before sending)". Match it in your bKash, Nagad, Rocket or Upay app, then record the payment here.
  • Online payments settings (Admin › Administration › Settings › Online payments) belong to the same owner feature.

Common problems

  • A staff member gets "You do not have access to: Payments & profit (owner)". Their login does not have that tick. This is on purpose: payments stay with the owner.
  • "Amount should be greater than 1 !!" The amount was 0 or less. Write the real amount received.
  • The customer says they paid online, but the order still shows cod. The gateway did not confirm the full amount (for example, they came back without paying). Check your gateway's merchant panel. If the money really came, record it by hand.
