Every person in the card machine has a User ID in RAMS (01, 02 …). Put that ID on their staff profile as the Card-machine ID, or use the Link box on the Attendance page. As soon as an ID is linked, the punches already read for it go to that person and their days are worked out.
Where to find it
- On the profile: Admin › ERP › HR Department › Staff › open the person › Edit › Card-machine ID.
- On attendance: Admin › ERP › HR Department › Attendance, the box RAMS users not linked to anyone.
Linking is for the store owner (Super Admin) only. People with only the Attendance tick see the unlinked IDs but no Link button.
Step by step
On the Attendance page
- Go to Attendance. If some RAMS IDs have punches but are on no profile, the box RAMS users not linked to anyone shows them, with the name from RAMS and the number of punches.
- In the who? list next to each ID, choose the person. A likely match is chosen for you when the RAMS name matches a staff name — check it.
- Press Link.
On the profile
- Open the person and press Edit.
- Type their RAMS User ID in Card-machine ID, for example 05.
- Press Save.
Good to know
- Who is in the who? list. Working people without a card ID. Part-time staff are not listed, because their attendance is not counted.
- 01 and 1 are the same ID. One ID can be on only one profile.
- Days fill in at once. Linking gives the person every punch already read for that ID, from the first one, and works out their days again.
- New people may link themselves. When someone with a new number ID punches and is on no profile, a profile is made by itself with their RAMS name and ID. It shows under New from the card machine on the Staff page; open it and set the department, salary and duty time.
- Each staff's card ID shows in the Staff list, on the profile and next to the name on the attendance sheet. not linked means no ID yet.
Common problems
- "This card ID is already on someone's profile." Another profile — maybe one made by itself from the card machine, or a deleted one — has it. If the profile made by itself is a duplicate of someone you already had: open the duplicate, press Edit, empty its Card-machine ID and save; then delete the duplicate; then type the ID on the right person's profile and save.
- "… already has the card ID …" The person you chose already has another ID. Check which ID is right on their profile.
- The box does not show a new ID. Only IDs with punches in the last 40 days that are on no profile are listed.
