How do I import attendance from a file?

Open Attendance, choose your Excel or CSV file next to Bring in file and press the button. The punches are matched to your staff by their card-machine ID, and their days are worked out at once.

Where to find it

Admin › ERP › HR Department › Attendance (এইচআর বিভাগ › হাজিরা). The store owner sees it. So does anyone with the Attendance feature, which the Admin and Manager jobs have by default.

Step by step

  1. Export the punches from your card-machine software as an Excel (.xlsx, .xls) or CSV file.
  2. Check the file has a header row with an ID column (User ID, card, Emp ID…), a Date column, and either a Time column or In and Out columns.
  3. Go to Attendance.
  4. Choose the file next to Bring in file and press Bring in file.
  5. Read the green message: it says how many punches were read and how many were new.
  6. If a yellow box shows RAMS users not linked to anyone, pick the right person for each ID and press Link. Their days then fill in.

How the file is read

  • One punch per row: ID, date, time. The first punch of a day is the In and the last is the Out.
  • One day per row: ID, date, In, Out. Both times become punches.
  • The header can be anywhere in the first 15 rows. Rows without an ID or a date are skipped.
  • IDs like "05" and "5" are the same person.
  • A punch before 05:00 counts for the day before, so overtime past midnight stays on the right day.

Good to know

  • No doubles. A punch that is already saved is not added again, so bringing in the same file twice is safe.
  • The ID must be on the staff profile. Put each person's Card-machine ID on their profile under Staff. Punches with an unknown ID wait until the ID is linked.
  • Days you corrected by hand stay as you typed them. A file never overwrites them.
  • Days with no punch. Days between someone's first and last punch in the file are worked out at once, and a working day with no punch becomes absent. Pressing Work out on the Payroll page works out the whole month again.
  • File size: up to 20 MB.

Common problems

  • "Could not find the columns." The header row is missing or named differently. Rename the columns to ID, Date and Time (or In and Out) and try again.
  • "0 new". These punches were already saved.
  • A person's days stay empty. Their profile has no card-machine ID, or a different one. Fix it on the profile or use Link.
