How do I export orders to Excel?

Orders are exported from the Order report. Set the filters you want, press Submit, then press Export. You get an Excel file (order_report.xlsx) with the orders that match.

Where to find it

Admin › Online store › Store reports › Order report. The Website orders list itself has no Export button. The store owner sees the report. Staff need the Order & product reports tick in Users & logins.

Step by step

  1. Go to Admin › Online store › Store reports › Order report.
  2. Set the filters you need:
    • Search: part of an invoice number or a product name.
    • Status: for example Complete or Return.
    • From and To: the order dates. Fill in both.
    • Courier and Assign By, if you need them.
  3. Press Submit. The list below shows what will be exported.
  4. Press Export (top right). The Excel file downloads.

To start again with no filters, press Reset.

What is in the file

One row for each product in an order, with these columns: Invoice No, IP Address, Customer, Phone, Address, Product, Quantity and Total. An order with three products gives three rows with the same invoice number. Total is that line's price × quantity; the delivery charge and the order's discount are not in it.

Good to know

  • Press Submit before Export. Export uses the filters that are on the page after you submit. Without them it exports every order.
  • From and To use the order date, and both days are included.
  • Print next to Export prints the list on the screen instead.
  • The file has only your own store's orders.

Common problems

  • The file has more orders than I wanted. The filters were not submitted. Set them, press Submit, then Export again.
  • The Order report link is missing for a staff member. They need the Order & product reports tick. At the moment the sidebar link also shows only for staff who have Users & access; the owner always sees it.
