Give every person their own login, because the panel saves what each login does under that person's name. With one shared login you cannot tell who entered an order, spent cash or tagged a mistake, and you cannot shut one person out without locking out everyone.
Where to find it
Admin › Administration › Users & access › Users & logins. The store owner sees it, and staff given Users & access.
How it works
Each login carries the person's name and job, and the panel uses both:
- Orders: a seller's orders are saved under the person who entered them. If a risky order is sent without an advance, the order shows "Sent without advance by" and that person's name.
- Money: cash wallet and cashbook entries are saved under the person who made them.
- Mistakes and fines: a mistake tag records who gave it, and the fine goes to the person tagged.
- Chats: Inbox chats are given to a person, and their answers and response times are counted for them.
- Their own pages: My Dashboard, My attendance, My salary and Daily work follow the login.
- What they can open: the job and ticks on the login decide which menus the person sees. A seller with Seller: own page only sees only their own page's orders.
Example: at Rangdhanu Fashion two sellers used to share one login. A parcel went out without an advance, and nobody knew who sent it. With their own logins, such an order now says "Sent without advance by" and the name of the seller who sent it.
Good to know
- When someone leaves, press Block on their row in Users & logins. They are signed out at once and cannot sign in again. Their old records stay. Press Unblock to let them back.
- The owner cannot be blocked, and nobody can block themselves.
- Never give out the owner's login. Only the Super Admin sees the money picture and gives access. Make the person a login with the job they do instead. If eCommerce Autopilot support needs to look, allow it in Security › Support access instead of sharing your password.
- Many staff at once? You can make logins for staff from their profiles in one go.
- Turn on two-step sign-in for the office, so a leaked password alone is not enough to get in.
