How are invoice numbers suggested and checked?

When a seller picks a page in New order, the next invoice number for that page appears by itself, for example rf1024. Before the order is saved, the invoice is checked against every order and every courier parcel, so the same invoice can never be used twice.

Where to find it

The Invoice box in Admin › ERP › Sales Department › Seller orders › New order (for a seller, My Orders › New order).

How it works

The suggestion

  1. The page's code in small letters comes first: rf.
  2. The panel looks at the page's latest invoices: recent orders entered here and recent parcels at the courier, including ones booked straight in the courier's own panel.
  3. It takes the highest number and adds one: after rf1023 comes rf1024.
  4. Typing slips are ignored. If someone once typed rf10230 by mistake, numbers far away from the others are left out, so the next invoice stays rf1024.
  5. A number that is already used is skipped.
  6. A page with no invoices yet starts at rf1.
  7. If the page has other codes in Other codes on courier invoices, the code used most recently is followed.

If you type your own invoice, the suggestion stops changing it. If you leave the box empty, the next number is filled in when you submit.

The check

  • While you type, the panel checks the invoice. If it is used, the reason shows under the box, and the save buttons stay off until you change it.
  • Spaces and capital letters do not count: RF 1023 and rf1023 are the same invoice.
  • An invoice that starts with another page's code is refused: "This invoice code belongs to another page. Invoices for RF should start with RF."

Good to know

  • The check covers orders already entered and parcels the courier has, even parcels booked outside the panel.
  • Each order keeps its own invoice when you edit it later.
  • Invoices that start with letters no page uses are allowed. Their parcels are listed in Invoice codes not linked to a page on the courier screen.

Common problems

  • "This invoice is already entered (order of …)." The invoice was used for another order. Use the next number.
  • "This invoice was already booked with …" A parcel at the courier has this invoice. Use a new number. If one parcel was booked twice, see the double booking article.
