How do I keep staff documents?

Each staff profile can hold three pictures: the person's photo, the NID front and the NID back. Add them on the profile's Edit page. They are kept private: only the people who can open staff profiles can see them.

Where to find it

Admin › ERP › HR Department › Staff › open the person › Edit › Photo and NID.

Only the store owner (Super Admin) and an Admin can open staff profiles and their pictures.

Step by step

  1. Go to Staff and open the person, then press Edit. For someone new, press Add a person.
  2. Scroll to Photo and NID on the right.
  3. Choose a picture for Photo, NID front and NID back. A phone photo is fine.
  4. Type the NID number, date of birth, blood group and emergency contact under Personal details if you have them.
  5. Press Save.

The NID pictures then show on the profile under Papers; press one to open it full size. The photo shows next to the person's name on the profile and in the Staff list.

Good to know

  • Pictures only. Each box takes an image, up to 8 MB. A PDF or a Word file cannot be added.
  • Made ready for you. Each picture is turned the right way up and made smaller before it is kept.
  • Private. The pictures are not on your website and have no public link. They open only from the staff pages, for someone who may open staff profiles.
  • Replace or remove. Choosing a new picture replaces the old one. To take one away, tick remove saved under it and save.
  • Other papers. For anything else (for example where a paper is kept, or a reference's phone number), write it in Notes on the profile.
  • Kept with the person. Making someone inactive or deleting the profile does not delete their pictures; they come back with Bring back.

Common problems

  • The picture will not upload. Check that it is an image and under 8 MB. Take a new photo with the phone camera if needed.
  • A manager cannot see the NID. Only the owner and an Admin can open staff profiles. An Admin sees the profile without the salary.
