What is "Purchases (old)"?

Purchases (old) is the earlier purchase screen. It is kept so the purchases entered there before still open. For new work — supplier bills, payments and goods that arrive — use Suppliers & bills instead.

Where to find it

Admin › ERP › Production Department › Purchases (old), right under Suppliers & bills.

It shows to people with the Purchase (old module) tick. Admin gets it by itself; for a Manager it is fine to add. The store owner always sees it.

How it works

The screen lists purchases with their date, reference, status (Pending, Ordered or Received), amount and note. Add New Purchase opens a form where you search products, pick the size and colour, and type the quantity and price.

A purchase here also changes your product stock:

  • saving a purchase adds its quantities to the stock of those product variations;
  • removing a line, or deleting the purchase, takes the quantities back off the stock.

So if you delete an old purchase, check the stock of those products afterwards.

Good to know

  • Use Suppliers & bills for new purchases. It keeps each supplier's bills, payments and what you owe them, and the Goods received form notes deliveries with quantity, unit, price and a photo.
  • Two different "supplier" lists. The suppliers in Suppliers & bills are separate from anything in the old screen. Add your suppliers in Suppliers & bills.
  • Stock has its own screen. To add or correct stock without a purchase, use Admin › Online store › Products › Stock.
  • Purchases (old) is not one of the ERP money screens: it does not go into the cashbook or the supplier's statement.

Common problems

  • The link is missing. The person does not have the Purchase (old module) tick. The owner can add it in Users & logins, but for new work give them Supplier bills & payments (Admin only) or Goods received instead.
  • Stock went down after deleting a purchase. That is expected: deleting a purchase takes its quantities back off the stock.
