Set stock on the product itself: open it, set Manage Stock to Yes and type the Stock Quantity. From then on every order takes its pieces out of stock, and your shop stops customers from ordering more than you have.
Where to find it
- The product form: Admin › Online store › Products › All products, then add or edit a product.
- Add stock later: Admin › Online store › Products › Stock (the same stock number as the product form).
- Current stock: the Stock column in All products, and Admin › Online store › Store reports › Low stock alert.
You need the Products & stock feature (the store owner always has it).
Step by step
- Go to Admin › Online store › Products › All products and open the product (edit icon), or press Add Product.
- Set Manage Stock to Yes. The Stock Quantity box appears.
- Single product: type how many pieces you have in Stock Quantity.
- Variable product: type the stock on each size and colour row, in that row's Stock Quantity.
- Save the product.
- Check the Stock column in All products. It shows the pieces left.
How it works
- A website order takes stock out as soon as it is placed. If a customer asks for more than you have, the shop shows a "stock not available" message and the order cannot go through.
- An order made in the admin panel takes stock out too.
- A cart left at checkout (Incomplete orders) holds its pieces until it is closed or the customer finishes the order.
- Changing an order to Cancelled, Return or Fake puts its pieces back. Changing it back to a live status takes them out again.
- Deleting an order puts its pieces back. Restoring it from the trash takes them out again.
Example: "Rangdhanu Fashion" has 20 pieces of a kurti. Three website orders of 1 piece each leave 17. One is cancelled, so stock goes back to 18.
Good to know
- Manage Stock = No means the shop never stops an order for stock. Use it for made-to-order items.
- One stock number: the product form, the Stock page and checkout all use the same stock. When you save an edit, only the change you typed is applied, so orders that came in while the form was open still count.
- Many orders at once: the Status Change button for several orders also puts stock back or takes it out, the same as changing one order.
- Low stock alert lists products at or below your Low Stock Alert Number (10 until you change it on that page).
Common problems
- Customers see "stock not available" but I have goods. Edit the product, type the real Stock Quantity and save.
- Stock did not come back after cancelling. Check that Manage Stock is Yes on that product; otherwise stock is not tracked for it.
