Tick the orders in the Website orders list, press Assign to…, choose the person and press Assign. Their name then shows in the Assigned to column of each order, and each move is kept in the order's history. With order distribution on, new orders are given out by themselves; this is how the office moves them by hand.
Where to find it
Admin › Online store › Website orders, any status list. The Assign to… button is in the row of buttons above the list.
Only the office moves orders: the store owner, and staff with the Order distribution tick (Admin and Manager have it by default).
Step by step
Many orders at once.
- Go to Admin › Online store › Website orders and open a list, for example Pending.
- Tick the orders you want to give to one person.
- Press Assign to…. A box opens: "The ticked orders go to".
- Choose the person. Only your store's people with the Website orders tick are listed.
- Press Assign. A message says how many orders were assigned, and the Assigned to column shows the new name.
One order, from its page.
- Open the order's edit page.
- Under the order you see Assigned to with the name and "since" the time.
- Pick a person, or Next in turn to give it to the next one by the distribution shares, and press Move.
How it works
- The history. Under each order, the last 10 moves are listed: when, from whom to whom, and why (new order, moved by the office, shared out because the person was off, waiting order, untouched and moved on).
- The filter. The office sees an Assigned to filter above the list: everyone, Not assigned, or one person.
- Who sees only their own orders. While order distribution is on, Store Managers and others with Website orders (not the office) see only the orders given to them. A login still on the older "worker" role always sees only its own.
Example: at Rangdhanu Fashion one Store Manager has 25 open orders and another has 5. The Manager filters Assigned to the first one, ticks 10 of her pending orders, presses Assign to…, picks the second Store Manager and presses Assign.
Good to know
- Giving an order to someone does not change its status, stock or anything else.
- New orders from the shop are given out by order distribution when it is on. When it is off, a shop order goes to a random login with the older "worker" role, or to the store owner when there is none.
- Your store only. Only your own staff are listed, and only they can be given your orders.
Common problems
- There is no Assign to… button. Your login is not part of the office. Ask the owner, or ask for the Order distribution tick.
- "Please Select An Order First !" No order was ticked. Tick at least one.
- A person is missing from the list. They need a login in your store with the Website orders tick, and must not be blocked. Add it in Admin › Administration › Users & access › Users & logins.
- "Nobody else is on to take it." Next in turn needs someone else switched on in Order distribution.
