Why do old cashbook lines not change an account's balance?

Because the account has an opening date. An account counts its cashbook only from that day on. Lines dated before it stay in the cashbook as history, but they do not move the balance, because the opening balance already stands for everything that happened before.

Where to find it

Admin › ERP › Accounts Department › Accounts › the pen icon on an account › As of (optional), next to Opening balance (৳).

Only the store owner (Super Admin) sets up accounts.

How it works

The balance of an account is its opening balance, plus money in, minus money out, with moves in and out, but only for lines on or after the As of date.

  • No As of date: every line counts, however old.
  • With an As of date: lines before that day are left out of the balance. They still show in the cashbook and in the account's statement.

On the statement, an old line shows its date and details, but its In and Out stay empty and the Balance after it does not change.

Example: Rangdhanu Fashion used the cashbook loosely in October. On 1 November the owner counts the shop cash: ৳12,500. He edits "Shop cash", sets Opening balance ৳12,500 and As of 1 November, and presses Save. The balance is now ৳12,500 plus November's lines only. October's lines are still there to look back on.

Step by step

  1. Go to Accounts.
  2. Press the pen icon on the account.
  3. Enter the money in the account on the day you start as the Opening balance (৳).
  4. Choose that day under As of (optional).
  5. Press Save.

Good to know

  • Nothing is deleted. Old lines stay in the cashbook. Only the balance stops counting them.
  • It works per account. Each account can have its own As of date, or none.
  • The same rule is used everywhere a balance is shown: the Accounts list, the statement, the Money summary, My cash and the CEO dashboard.
  • To count old lines again, clear the As of date (or set an earlier one) and save.

Common problems

  • I entered last week's spending and the balance did not drop. The line is dated before the account's As of date. Check the date on the line, or the account's As of date.
  • The balance is suddenly much higher or lower. Someone set or changed the As of date. Check the opening balance matches the money counted on that day.
