What is Need approval?

Need approval is the page where your team's money entries wait for the Super Admin. When anyone other than a Super Admin enters money in the Cashbook or a supplier bill, it starts as waiting and counts nowhere until a Super Admin approves it. Changes and deletes wait here too.

Where to find it

Admin › ERP › Accounts Department › Need approval (হিসাব বিভাগ › অনুমোদন দরকার). This link was called Change approvals before.

The number on the link shows how many items are waiting. The CEO dashboard also shows "… entries need your approval" with a link here.

The Super Admin sees everything and decides. A staff member who works with the cashbook or supplier bills sees the same page, but only with their own entries and requests, and without the buttons.

How it works

The Waiting tab has up to three parts:

  1. Money handed to you — confirm: money someone moved into an account you look after. Press Confirm when it reaches you, or Refuse. Money you sent shows under Sent — waiting for them to confirm.
  2. New entries: cashbook lines (money in, money out, money transfers, supplier payments) and supplier bills entered by someone else. Each shows the type, amount, date, account or supplier, and who entered it. The Super Admin presses Approve or Refuse.
  3. Changes & deletes: edits or deletes someone asked for on an entry that already counts. The Super Admin sees Now and Asked side by side.

The Decided tab lists changes and deletes that were already approved or refused.

Example: at Rangdhanu Fashion, the manager enters ৳850 money out for packaging. The cashbook shows it with a "needs approval" tag, but the balance and totals do not change. The owner approves it in the evening, and from then on it counts.

Good to know

  • Approved counts from that moment. Refused never counts.
  • Waiting and refused entries are left out of every balance, total, report and supplier due. The cashbook still lists them, marked.
  • A Super Admin's own entries count at once. Steadfast payout entries that come in by themselves also count at once.
  • Entries made before this rule are unchanged and keep counting.
  • If a staff member moves money into the owner's own account (one nobody else looks after), approving the entry also confirms the money arrived.
  • After the free trial, the page needs the "Cashbook, accounts, suppliers & approvals" part in your package.
