The store owner (Super Admin) sees everything about suppliers, and is the only one who sees how much each supplier is owed. For staff, two tick boxes decide it: Supplier bills & payments (the Admin) lets them enter bills and payments, and Goods received lets them note deliveries.
Where to find it
The supplier screens are at Admin › ERP › Production Department › Suppliers & bills. You give each person their features in Admin › Administration › Users & access › Users & logins, in the ERP group of tick boxes.
Who can use it
| Who | What they can do |
|---|---|
| Super Admin (owner) | Everything: add suppliers, note goods, pay from any account, see every total owed and every slip, tick bills as checked, change or delete entries straight away, and approve others' changes. |
| Supplier bills & payments (the Admin) | Add and edit suppliers, note goods, enter bills, see the bills and payments with amounts, and pay from the accounts given to them. Their edits and deletes wait for the owner's approval. No totals owed, no Due now, no money slips. |
| Goods received (Manager, Production Manager and others) | Note deliveries and see the goods lists and what is still to come. No bills-and-payments list, no amounts owed. |
| Supplier dues (owner) | Marked owner only: it opens for the Super Admin alone, even if ticked for someone else. |
Good to know
- Goods received still involves prices. The delivery form asks a unit price for each new item, and each line becomes the supplier's bill. The goods-received slip shows that delivery's amounts and the day's total bills. It does not show what is owed in total.
- Only the Super Admin and the Admin enter supplier bills and payments. A Manager stays on Goods received, even if the bills tick is given.
- Supplier dues (owner) and Money overview (owner) open for the Super Admin only, even when ticked for staff.
- The Supplier dues card on Finance overview and the supplier table in Month summary are part of the owner's money view.
- Slips made by staff carry a note that they are not the final account.
- Only the Super Admin approves changes to bills and payments.
Common problems
- An Admin cannot see the totals. That is how it is set up: what suppliers are owed is the owner's.
- A store keeper sees amounts. Make sure their role is not Admin, and leave only Goods received.
