Go to Income & expense types and press Add category. Give it a name, pick its type and a colour, and save. Each cashbook entry is then put under one of these, so you can see where your money comes from and goes.
Where to find it
Admin › ERP › Accounts Department › Income & expense types. The page itself is called Categories.
The store owner (Super Admin) sees and changes it. Staff cannot: its tick, ERP settings (owner), opens for the Super Admin only.
Step by step
- Go to Income & expense types and press Add category.
- Write the Name (up to 80 characters), for example "Photography" or "Eid bonus".
- Choose the Type (see the table below).
- Pick a Colour. It is the colour of the label in the cashbook.
- Keep Show in lists ticked and press Save.
The types
| Type | What it is for | In profit & loss |
|---|---|---|
| Expense | Running costs: ads, salary, rent, courier | Yes |
| Other income | Money earned outside normal sales | Yes |
| Sales money | Money received for orders (sales are counted from the orders) | No |
| Stock purchase | Buying products without a supplier account | No |
| Supplier payment | Paying a supplier (from the supplier page) | No |
| Owner money in | The owner putting their own money in | No |
| Owner money out | The owner taking money out for personal use | No |
| Loan | Taking or paying back a loan | No |
| Money transfer way (ATM / mobile banking) | How a Money transfer was given: cash out from the ATM or from mobile banking | No |
Money out can use the out types, money in the in types. Loan works both ways. The Money transfer way is used only with Money transfer, not in money in or money out.
Good to know
- A starter list is made for you the first time your store opens the ERP, including Salary and a staff advance category.
- Staff can add one while entering money. In the cashbook, typing a name that is not in the Category list makes a new category: Expense for money out, Other income for money in. It stays in the list. The same name in other capitals or spacing uses the one already there, and a close name asks first ("Similar: … — use this").
- Same thing, two names? The owner sees a Look like the same category box at the top of the page. Merge into… moves every entry into the category you keep and removes the empty one. Nothing is merged by itself.
- The type cannot change once a category has entries. Make a new category instead.
- Delete or hide. A category with no entries is deleted. One with entries is hidden, and old entries keep it.
- Each category shows how many entries it has.
- Sale — can have a due. An Other income category can be ticked as a sale. Money in under it then asks for the Total bill next to Paid now, and the rest waits on Customer dues. Sales from factory is ticked already; the list shows such categories as "sale · can have a due".
- Due collection (বকেয়া আদায়) is made for every store. Collected dues go into it by themselves.
- Cash out from ATM and Cash out from mobile banking are made for every store. They are the choices under How was it given? in a Money transfer, not in the Category box. Sales money received is made when Steadfast payouts go into the cashbook.
- No cash out as spending. A money out category named like "cash out", "ATM" or "withdraw" is refused, because taking cash out is a Money transfer, not an expense.
Common problems
- "This category already has entries, so its type cannot change." Make a new category with the right type and use it from now on.
- A category is missing in the cashbook. It is hidden, or its type does not fit money in or money out. Edit it and tick Show in lists.
- There is no Add category button. You are not the store owner. Ask the owner.
