Why does the cashbook say "Similar: … use this"?

You typed a category name that is close to one the store already has, for example "nastar bil" when "Nasta bill" exists. Tap Nasta bill — use this to put the entry there. If it really is something else, tick This is a different category — make it new.

Where to find it

Admin › ERP › Accounts Department › Cashbook (or My cashbook). Press Money out or Money in and type in the Category box.

Everyone who can make cashbook entries sees it: the store owner and staff with the Own cash wallet feature.

How it works

The Category box is a type-ahead: type a few letters or pick from the list. It only looks at this store's categories for the same direction (money out categories for money out, money in categories for money in).

What happens depends on what you type:

You type The box says On Save
A name you already have, in any case, spacing or punctuation ("NASTA bill!") Goes into Nasta bill Uses that category
A name close to one you have ("nastar bil") Similar: Nasta bill — use this Refused until you pick it or tick the box
A new name nothing like the others ("Generator fuel") A new category "Generator fuel" will be saved Makes the new category

If you save a close name without choosing, the form says: "Similar category already there: Nasta bill. Choose it, or tick "This is a different category" to make "nastar bil"."

Why it matters

One kind of spending should sit in one category. If "Nasta bill", "nasta bil" and "Nastar bill" are all separate, Spending by category splits the breakfast cost in three and the totals look smaller than they are.

Good to know

  • Bangla names work too. The check reads Bangla letters, so "নাস্তা বিল" and "নাস্তার বিল" are seen as close.

  • A hidden category comes back. Typing the exact name of a hidden category uses it and shows it again.

  • Close means very alike. Short names (under 3 letters) are never called similar. A short name that starts a longer one ("Courier" and "Courier & delivery") can be.

  • The same check runs when the owner adds or renames a category in Income & expense types. There the tick reads This is a different category (even if a similar name is there), and an exact name is refused with "… is already there".

  • Cash out names are different. Under Money out, typing "ATM", "bKash cash out" or "withdraw" does not make a new category. The box says taking money out of the bank / bKash is not an expense and shows a Money transfer button that switches the form, and saving it as money out is refused. Income & expense types also refuses a money out category with such a name.

Common problems

  • I ticked the box by mistake and made a duplicate. The owner can merge the two in Income & expense types.
  • The suggestion does not appear. Wait a moment after typing; it checks while you type.
