How do I attach a receipt or export the cashbook?

When you add or edit a cashbook entry, choose a photo or PDF under Receipt or bill and save. A paperclip then appears on that line. To take the cashbook into a spreadsheet, filter the list and press Export CSV.

Where to find it

Admin › ERP › Accounts Department › Cashbook (staff with their own wallet see My cashbook).

Step by step

Attach a receipt

  1. Press Money out, Money in or Transfer, or the pen icon on an entry.
  2. Under Receipt or bill (photo or PDF, optional), choose the file. A phone photo works.
  3. Press Save.
  4. Press the paperclip on the line to open the receipt.

Export the cashbook

  1. Pick the dates with the date choice, for example Last month.
  2. If you want, narrow the list: account, category, person (owner), money in, out or transfer, or a word from the note, name or reference. Press Go.
  3. Press Export CSV. The file opens in Excel or Google Sheets.

Check entries (owner)

  1. Open the Not checked yet tab. It lists every entry you have not looked at yet.
  2. Press the tick icon on an entry once you have checked it against its receipt. It shows "checked" under the date. Press it again to undo.

Good to know

  • Files: JPG, PNG, WebP or PDF, up to 5 MB each.
  • Receipts are private. Only people who can see that account can open them.
  • To replace a receipt, edit the entry and choose a new file. To remove it, tick remove the saved receipt.
  • For staff, a new receipt is a change. It waits in Need approval like any other edit, and the owner can open the new receipt there before approving.
  • The CSV has the date, type, account, to account, category, supplier, money in, money out, paid to or received from, handled by, reference, description, who entered it and the day it was checked.
  • Staff export only their own accounts' entries, the same lines they see on screen.

Common problems

  • The upload is refused. The file is too big or not an image or PDF. Take a smaller photo or save it as PDF.
  • The CSV is missing entries. Your filters or dates are too narrow. Clear the filters and pick Lifetime before exporting.
