How are VIP and inactive customers decided?

By default a customer becomes VIP after 3 good orders or ৳10,000 spent on delivered orders, and inactive after 90 days without an order. You can change both numbers in Group rules on the CRM Customers page.

Where to find it

Admin › CRM › Customers › Customers › Group rules

The Group rules button shows only for logins with CRM — work with customers. Admin, Manager, Supervisor and Moderator get it with their role.

Step by step

  1. Go to Admin › CRM › Customers › Customers and press Group rules.
  2. VIP from this many orders: type a number from 2 to 1,000 (3 by default).
  3. …or VIP from this much spent (৳, delivered orders): type an amount (৳10,000 by default).
  4. Inactive after this many days without an order: type a number from 7 to 3,650 (90 by default).
  5. Press Save rules. You see "Customer group rules saved." and every customer's group changes at once.

How it works

Every customer is put in one main group from their orders:

Group When
VIP Good orders reach your VIP number, or money spent reaches your VIP amount
Repeat 2 or more good orders, below VIP
New One good order so far
Abandoned checkout Started checkout but never ordered
No orders Added by hand, no order yet

Two more labels can sit on top of the main group:

  • Inactive — has ordered before, but nothing in the last N days (your inactive number).
  • Risky — 2 or more cancelled, returned or fake orders.

"Good orders" are orders that were not cancelled, returned or marked fake. "Spent" counts only delivered orders.

Example: with the default rules, a Rangdhanu Fashion customer with 2 delivered orders of ৳6,000 each has spent ৳12,000, so she is VIP. If her last order was 4 months ago, she is also Inactive: a good person to call with a new offer.

Good to know

  • Groups are never set by hand. They follow the orders and your rules.
  • An amount of 0 does not switch off the money rule. It brings back the ৳10,000 default.
  • Each store has its own rules. Changing them here does not touch any other store.
  • The counts for every group show on the Customers page and the CRM overview. Click a group to see its customers.

Common problems

  • The rules will not save. VIP orders must be 2 or more, and inactive days between 7 and 3,650.
  • A customer's group looks wrong. Their order numbers may be old. In Group rules, press Refresh numbers to count every customer again from the orders.
