How do I send a voice note to a WhatsApp customer?

Open the WhatsApp chat, press the microphone, speak, press Stop & add and then send. The store puts your recording in the sound format WhatsApp uses for voice messages, so the customer can play it right in WhatsApp.

Where to find it

In a chat: Admin › CRM › Inbox › Inbox (সিআরএম › ইনবক্স), open a WhatsApp chat. On a phone the round green mic sits to the right of the answer box; on a computer the microphone (Voice message) is with the other tools on the left of the box.

Step by step

  1. Open the customer's chat.
  2. Press the microphone.
  3. The first time, your browser asks to use the microphone. Press Allow.
  4. A bar shows Recording with a timer. Speak your message.
  5. Press Stop & add (or Cancel to throw it away).
  6. The voice shows above the box as Voice with its length in seconds. Press × on it to remove it.
  7. Press send.

How it works

Chrome and Edge record voice as Opus sound in a WebM file, which WhatsApp does not take. The store moves the same sound into an Ogg file before sending, without changing how it sounds. On browsers that record AAC or Ogg themselves (for example on an iPhone), the recording goes as it is.

Example: a customer of Rangdhanu Fashion asks how to wash a cotton sari. The seller records a 40-second voice note instead of typing a long answer.

Good to know

  • WhatsApp takes a sound file of at most 16 MB. A normal voice note is far smaller.
  • The voice note is a normal message: it follows WhatsApp's 24-hour rule like any text.
  • The mic also works in Messenger, Instagram and website chats. It is not shown for public comment replies.
  • Voice notes from customers come into the chat with a player, so you can listen in the Inbox.

Common problems

  • "Allow the microphone for this site to record." The browser was blocked from using the mic. Open the browser's site settings for your admin address, allow the microphone and try again.
  • "This browser cannot record voice." Use an up-to-date Chrome, Edge or Safari.
  • "WhatsApp cannot play this voice recording. Record it again or send an MP3." The recording could not be turned into WhatsApp's format. Record it again, or send an MP3 file with the paperclip.
