Tick the chats in the Inbox list, choose what to change in the bar that appears on top, and press Apply. You can set a status, set a category, add or remove a tag, or (for the office) give the chats to a seller.
Where to find it
Admin › CRM › Inbox, the chat list.
Everyone who uses the Inbox can change the chats they can see. A seller changes only their own chats. Give to a seller is only there for people with Inbox — every chat.
Step by step
- Open Admin › CRM › Inbox. Use the tabs and filters to narrow the list if you like.
- Tick the box at the left of each chat, or tick Tick all on this page.
- A bar shows how many are ticked. Choose an action:
- Set status: for example Done or Waiting for customer.
- Set category: one category, or No category to clear it.
- Add a tag or Remove a tag.
- Give to a seller: a seller by name, or Next seller by the shares.
- Choose the value next to it.
- Press Apply. A message says how many chats changed.
- Press Clear to untick everything.
Good to know
- New is not offered as a status. Only the system gives that status, to a chat that has just come in.
- Closing statuses (Order confirmed, Order cancelled, Done) stop the chat waiting for an answer.
- Category rule: if Inbox settings says a chat can be closed only with a category, ticked chats without a category are not closed. The message tells you how many were skipped.
- Set category and the tag actions appear only after you have made categories or tags in Inbox settings.
- One page at a time: Tick all on this page ticks the chats shown on the current page of the list.
- While chats are ticked, the list does not refresh by itself, so your ticks are not lost.
- To set a follow-up with a date and a note, open the chat and use its Status box.
Common problems
- "Tick the chats first." Nothing was ticked when you pressed Apply.
- Some chats did not close. They have no category and the category rule is on. Set a category first, then close them.
- There is no Give to a seller option. You do not have Inbox — every chat.
